Effective communication starts with knowing your audience and speaking their language – both figuratively and literally. That doesn’t mean you change your core message, rather you offer to help explain your message in a way that relates directly to your audience. Sometimes, it may be hard because audiences can be greatly different. So where should you begin? Let’s look at the eight points below to understand this better.

1. Get maximum possible information about your audience

You may make a list and filter your audience into different groups for an upcoming presentation or a memo that you’re writing. Make sure you have considered all possible aspects of your audience, which may include their age, background, experience, etc. if that applies. Think about the different segments of your audience and, what they have in common, and what is different.

2. Think about what you need them to know, think and feel

While it is necessary to adjust your messages accordingly to the needs of your audience, this doesn’t mean you lose sight of what you precisely need them to know. You have a core message, and you need to incorporate it clearly and effectively into your communication, at the same time bundle it in a way that meets your audience in the best way possible. More than just passing the ball, effective communication is to inform, engage, and inspire your audience. Again, and again ask yourself—what would you want your audience to remember? Is there a call for action? And if so, is that “call” clearly conveyed and emphasized repeatedly? The most effective communication is the one that moves people to act.

3. Always be conscious of what’s on their minds and how to communicate.

We should put ourselves in our audience’s shoes and think about how they would view our speech and if they care about it. If we look at the world through their eyes, it will certainly help develop an effective message which can be delivered in a way that would engage your audience more likely to listen and act. When considering setting and format, if you are sharing news about a major change, perhaps that is best done in a town hall or team meeting to allow for face-to-face dialogue. If you need to give regular updates for other person’s information, consider a memo or e-newsletter, depending on the available channels. The more you have complexity in your message, the more you would need a face-to-face-like setting.

4. Ask yourself how you can best relate to your audience and motivate them

Now we are getting right into the heart of knowing our audience by looking at the audience list and their mindset. It is always preferable to add a compelling and interesting story to tell them which they can relate to. This way you can add some relevance to what you are saying and leave them with a call to action to remember. In the end, the key is to know your audiences and offering them the information they want to hear in a way that works best for them.
